Overview

 

Alpha Omega Integration is currently seeking a detail oriented Operations Assistant to provide a variety of administrative and operations duties at our office in McLean, VA. The selected candidate will be the first point of contact for all our visitors and customers (including on the phone) and will be expected to present a professional image for the company. Position details including responsibilities and qualifications are listed below.

Responsibilities

Responsibilities

Administrative:

  • Receive and distribute packages and mail
  • Track and order office supplies
  • Assist Executive Team with daily schedule, maintaining contacts in Outlook, registering for events, etc.
  • Answer Executive Team's phone when/if it rolls over and (nicely) pre-screen callers to sort out cold calls
  • Perform periodic photocopying and document assembly, including proposal production
  • Review/edit documents, including proposals and deliverables
  • Help with event planning as needed; assist with ordering lunches, preparing conference room
  • Maintain/compile statistics and produce tables/charts on various measurements
  • Provide back-up to HR as needed and assist with ad-hoc projects as needed

IT liaison:

  • Act as liaison between corporate office and IT provider to ensure requests are being completed in a timely manner.

Finance (training provided):

  • Accounts payable/accounts receivable
  • Credit card reconciliation
  • Insurance bill reconciliation

Qualifications

Qualifications:

  • 1+ years of administrative experience
  • Professional demeanor and exceptional communication skills (written and verbal)
  • Proficiency using Microsoft Office Tools (Word, Excel, PowerPoint, Outlook)
  • Ability to work effectively in a team environment as well as to
  • Willingness to cross-train for other job functions
  • Selected candidate must be able to successfully pass a background and/or drug screening

 

Desired Qualifications:

  • Bachelor’s degree
  • Experience with QuickBooks
  • IT education/experience
  • Strong Excel skills
